How to enable General Access permission

In certain situations, you may need to share files with a large number of people without needing to track each individual who views them. Even in these cases, ensuring the highest level of cybersecurity is essential. This is where General Access comes in handy. 

General Access is a convenient permission setting that allows recipients to view documents wherein the ability to download can be set as optional. This is perfect for sharing general information that doesn’t require sign-ups, such as group photos, public forms, announcements, and memos. With General Access, you can easily share important documents while keeping them secure and accessible to everyone.

How to Enable General Access:

  1. Upload Your Files: On the Upload Files screen, drag and drop your files or click the box to browse and select files from your computer.

  2. Activate General Access: Toggle on the General Access button to grant recipients default view access.

  3. Enable Downloads (Optional): If you want your recipients to be able to download the file, switch on the Downloadable toggle button.

  4. Attach and Send: Once you're ready, tap the button to securely attach your document to your email, then send it off.

 

 

 

 

 

 

 

What Happens Next:

  • Recipient’s Experience: The recipient will receive an email from Document GPS containing your attachment, which they can open directly from the email.
  • Tracking and Security: The Document GPS tracking log will display activities as Anonymous Viewer or Anonymous Download, so you can keep track of how often your file is accessed. Recipients won’t need to verify their email address, ensuring a seamless and quick access experience.
