Document GPS leads in document security with advanced features, including Advanced Screenshot Block, Watermark, and Share Prevention, designed to protect sensitive documents shared via email and give users control over their digital content.
Advanced Screenshot Block
This feature prevents unauthorized users from taking screenshots of documents. By blocking screen capture attempts, Document GPS ensures that sensitive information remains confidential and cannot be easily disseminated or copied without permission.
Watermark
The watermark feature adds a layer of identification to documents, deterring unauthorized sharing and use. Watermarks display user-specific information, making it clear who the recipient is and discouraging recipients from distributing it further.
Share Prevention
When enabled, this feature restricts document access to only the intended recipient. Recipients cannot share or forward the document, thereby maintaining strict control over who can view the content. This is particularly beneficial for organizations looking to safeguard proprietary or sensitive information.
How to enable Advanced Protection on a document:
- Begin by selecting the option for creating new mail in Outlook or composing a message in Gmail.
- Click the Document GPS orange paperclip that replaces the old, insecure, and traditional way of attaching documents. This action will launch the Upload Files screen.
- To upload the file that requires advanced protection, simply drag & drop it to the upload files box or browse for the file from your computer.
4. Once the document has been uploaded, enable advanced protection on the document by clicking on the "lock" icon as shown in the image below.
5. Tick the desired feature to enable this on the document. Click Continue. Lastly, click on button provided to securely attach the document to your email before sending it out.
- Once you have sent the email, the recipient will receive a notification from Document GPS containing the document you shared.
- Upon opening the document, the recipient will encounter a pop-up message requiring their consent before viewing the document.
- Any attempt to capture a screenshot of a document that has the screenshot block feature activated will trigger a notification message, as illustrated below:
- The recipient will see the watermarked document as depicted in the image below. Additionally, the watermark will also be present in the downloaded version of the document.
- When share prevention is enabled on a document, it will display a message in fine print stating: 'This file is restricted to the use of (recipient’s name and email address) and you have consented not to re-share it.' This message will also be visible in the downloaded version of the document.
- As the document owner, you have the ability to monitor any screenshot attempts as well as other actions made by recipients on your document. In the Library, simply click on the three-dot menu associated with the document and select the Track Activity option to view the events tracking log.
